The Notes Page

Notes - You may enter a virtually unlimited amount of text into this field. The notes appear on the People Lists and Phone Sheets Reports. See Standard Reports on the Reports Menu for more inform ation about reports.

The Special Page

The Special Page contains the User Defined Fields. These eight fields are yours to use as you like. If The Union Organizer doesn't have a field for something you need to keep track of, then you need only rename one of these fields and start using it. T he first four fields are two characters each. The second four are twenty characters each. You may not modify these parameters but you may rename the fields as you see fit. The name you assign will then appear in place of USER_1, USER_2,... and on any othe r screen in which that field would normally be visible. You rename the User Defined Fields on the User Defined Fields page of the User Preferences Option of the Utilities Menu.

The Attach Page

The Attachments Page allows you to attach up to four external documents to each record. In the example shown above a plain text document called RESUME.txt is attached to this particular record. If this is the record of Mary Smith then perhaps this is h er resume. To open the item just click it and it will open in its native software (LETTER.DOC might open in Word, FredsTable.DBF might open in dBase,...). These attachments may be of any type. They could be a document created with Word, an Excel Macro, an HTML document, etc. For example, if someone in the database has her own web page you could start Netscape, go to her page, save the page to a file on your hard drive, and then attach that file to her record. Now when you go to her record in the database and click that attachment, Netscape will start up and go to that web page. More everyday attachments might be letters or scanned forms relating to a grievance. Only the software on your machine and your system resources limits this option.

To add or remove an attachment, simply choose Edit and then Add/Remove for the attachment you want to change. A dialog will appear prompting you to choose between "Just Remove the Attachment" and "Add New Attachment". If you pick "Add New..." a file ch oice dialog will appear prompting you to select a file to attach. When done, choose Save Changes, or Discard Changes if you have changed your mind.
